Information we collect
- Contact details you submit, such as company name, contact name, email, phone number, city/province, and role/title.
- Fleet or site details you choose to provide, such as number of vehicles, products needed, site services, travel areas, or estimated volumes.
- Feedback or support details you type into the chatbot or website forms.
- Browser location only when you choose to use the nearest-location feature and allow location access in your browser.
- Website analytics data collected through Google Analytics, such as page activity and device/browser information.
Please do not submit a full fuel-card number, banking details, passwords, government ID numbers, or other sensitive information through the chatbot or website forms.
Why we use it
- To respond to fuel-card, site-member, feedback, and sales requests.
- To help users find open RFN locations and fuel services.
- To route card support questions to the marketer or card issuer identified by the user.
- To improve the website, forms, locator, and RFN Assistant experience.
- To send RFN updates only where the user has asked to receive them or where permitted by law.
Who may receive information
- RFN personnel and authorized service providers who help receive, review, and respond to website inquiries.
- FormSubmit, the third-party form-processing service used to send website and chatbot form details to RFN.
- Google Analytics, which provides website usage analytics.
- Email service providers used to deliver and receive inquiry emails.
- Participating RFN marketers or card issuers, only when needed to respond to a request or when the user asks to be routed to their issuer. These may include Cool Creek Energy, Fuelux/Fuelex Energy, Rosebush Energies, Mackenzie Oil, Kaemingh Fuels Inc, Platinum Fuels, Polar Oils, and other RFN-approved marketers or site partners.
Some service providers may process or store information outside Quebec or Canada. RFN uses them to operate the website, analytics, and inquiry handling.
Retention and safeguards
RFN keeps inquiry information only as long as reasonably needed to respond, manage business records, improve service, or meet legal requirements. Access is limited to people who need it for those purposes.
Your choices
- You can choose not to submit a form and contact RFN by phone instead.
- You can deny browser location permission and search the locator by city, province, product, or site name.
- You can ask to access, correct, or withdraw consent for use of personal information, subject to legal or business-record requirements.
- You can unsubscribe from marketing emails if you opted in to receive RFN updates.
Cookie and analytics choices
RFN uses essential browser storage and cached files so the RFN Site Locator App can load faster and continue working when cellular service is unavailable. This essential storage is not used for advertising.
RFN uses Google Analytics to understand website and locator usage, such as page visits, locator searches, directions clicks, and form activity. You can manage analytics from the Privacy Choices link in the footer and choose essential storage only on this device.
